The Meeting Package
A meeting is a list of items and the document they become. Add the financial reports, the budget, the audit, the executive summary, and the documents that belong in this package, put them in the order they will be presented, and lock the meeting. BNControl generates every report and merges the whole package into one PDF.
Meetings are grouped by type, so the board package, the loan committee, and the IT steering committee each keep their own history. A package assembled outside BNControl can be uploaded as a PDF and sits in the same list.

Everything That Goes In a Package
Several kinds of item can go into a meeting, and most of them are already in BNControl. Financial reports, budgets, and executive summaries come from Financials. Flex Reports and form reports come from Reporting and Flex Forms. Charts come from the Dashboard. Audits come from Audits.
The rest is yours to supply. Upload a PDF for anything produced outside BNControl. Header lines divide the package into sections, and custom lines cover the agenda items that have no document behind them - the call to order, the roll call, old business, and the adjournment.

Financial Reports
Financial reports go into a package the same way they are built anywhere else in BNControl. Choose the report type, the branches, the markets, the profit centers, and the print options, and the report runs against the meeting's as-of date.
Change that as-of date later and every financial report and executive summary in the package moves with it. Nobody opens the items one at a time to reset dates.
The Advanced tab handles branch reporting. Select the branches and BNControl generates a separate copy of the report for each one, in order, from a single item.

Budgets and Executive Summaries
Budgets from Financials go in with the print options set for the audience. Show all twelve months, year end only, or quarterly averages. Condense it to the accumulator lines or expand it to every account, with the budget summary items or without them.
The executive summary includes the growth, performance, and portfolio graphs. It follows the meeting's as-of date the way the financial reports do, and copying last month's meeting brings it forward on the new date.

Charts and Graphs
Most of the Dashboard's widgets can be dropped into a meeting package as a printed chart. Loan and deposit portfolio balances, rate history, income and expense, interest bearing and non-interest bearing deposits, and net interest margin are all on the list, along with the debit card and referral tracking widgets.
Two charts share a page. Add them next to each other in the package and BNControl puts them on one page under their own headings.

Start From Last Month
A new meeting can begin as a copy of the last one. Choose the meeting to copy and the layout comes across whole - the reports, the charts, the header lines, the custom lines, the agenda items, and the Motion Required flags, all in the same order.
Financial reports and executive summaries re-point to the new meeting's as-of date, so this month's package runs this month's numbers. Documents that have to be supplied each month come across as placeholders marked Missing until the file is uploaded, and Remove Missing Components clears out the ones this meeting does not need.

Export Straight Into a Meeting
Reports do not have to be built from inside the meeting. Run a Flex Report with the filters and columns you want, choose Export to Meeting, pick the meeting, and it lands in that package under the name you give it.
The same export is on financial reports, peer analysis reports, dashboard widgets, form reports, CECL, LTV analysis, and the loan worksheet. Each piece of the package goes in from wherever it was prepared.

The Agenda and the Finished PDF
The table of contents is the agenda. Every item is listed in order with the page it starts on, and the page numbers are calculated when the package is built. Additional agenda lines come first, for the business that happens before the documents, header lines appear as section dividers, and items flagged Motion Required are labeled.
The finished PDF opens on a cover page carrying the meeting type, the date, and your logo. Every page after it is stamped with the meeting type, the meeting date, and its number in the package, and each table of contents entry becomes a bookmark that jumps to the right page.

Meeting Types
Meeting types are the groups a meeting belongs to. Board Package, Loan Committee, IT Steering Committee, Branch Managers, Weekly HR - name them for the meetings you actually hold and each one keeps its own list of dates.
Every type has its own settings. Set an archive period and meetings older than that many months move out of the active list on their own. Upload a logo for the type and its cover pages use it in place of the default. A type that has run its course is marked inactive instead of deleted, and its history stays where it is.

Who Sees Which Meetings
Permissions are set on each meeting type as two questions - who can create and edit the packages, and who can view them. Assign groups, individual users, or both.
Employees see only the types they have been given, so the board package is not on the page for someone who has no business with it. Viewers get the locked meetings and the finalized minutes. An unlocked meeting shows as Pending and stays closed until the package is finished.

Minutes
Minutes are written against the meeting they belong to. Open the package, type them in, and save. They stay with the agenda and the documents instead of in a separate file somewhere on the network, and the date they were last saved is recorded with them.
Mark them locked and finalized once they are approved and they become read-only. From that point everyone with view access to the meeting type can open them, they can be printed on their own, and they can be pulled into the next package as Previous Meeting Minutes.

The board receives a single PDF with a cover page, a table of contents, bookmarks, and page numbers that run from the first item to the last.

Copy the layout forward and the reports re-date themselves. The recurring work is already done, and what is left is this month's documents.
A Record That Holds
Locking stores the package exactly as it was distributed. The agenda, the documents, and the minutes stay with the meeting for as long as you keep it.
